NYC wedding transportation splits into three categories: bridal party bus for the wedding party between hotel, ceremony, and reception; guest shuttle bus for the rest of the party; and stretch limo for the bride & groom. Picking the wrong category for your venue is the single most expensive wedding-transportation mistake. Here's how to get it right.
The three categories and when to use each
Bridal party bus (20-24 passenger) — $1,125-$1,625 for 4-5 hours. Use for: the wedding party (bridesmaids, groomsmen, immediate family) moving between getting-ready hotel, ceremony, photos, and reception. Typically booked on the 20-passenger Luxury Limo Bus (Italian leather, champagne cooler, 75" video wall) or the 24-passenger Premium Party Bus.
Guest shuttle (32 passenger) — $1,650-$2,475 for 6-9 hours. Use for: the rest of your guest list moving from a designated hotel or pickup point to the reception venue and back. Run continuously in a shuttle pattern or scheduled in 30-minute waves.
Bride & groom limo (6-8 passenger stretch). Note: we don't run traditional stretch limos — our Luxury Limo Bus replaces this category with more space and better amenities.
Venue-by-venue recommendations
Manhattan wedding venues
- Tribeca Rooftop — Bridal bus (Luxury Limo Bus, 4 hours) + shuttle from a single hotel (Large Party Bus, 6 hours). Parking in Tribeca for oversized vehicles is brutal; we pre-coordinate Moore Street staging with the venue.
- The Bowery Hotel / Bowery Ballroom — Bridal bus + shuttle. Bowery has a designated loading zone; we stage on Bowery between Bond and Great Jones.
- Gotham Hall — Midtown location on 36th/Broadway. Easy oversized-vehicle access; minimal staging concerns.
- The Pierre / Plaza Hotel — Traditional Upper East Side. Bridal party arrives at the side entrance on 61st Street (Pierre) or 58th/5th Ave (Plaza). Standard shuttle patterns work well.
Brooklyn wedding venues
- Brooklyn Winery (Williamsburg) — Bridal bus + one or two shuttle buses. N. 8th Street staging; coordinate with venue 1 week out.
- 501 Union (Gowanus) — Bridal bus + shuttle from a Park Slope or Downtown Brooklyn hotel. Our chauffeurs use 3rd Avenue approach to avoid Gowanus Expressway backups.
- Liberty Warehouse (Red Hook) — Remote Red Hook location, no subway access. Guest shuttle is essential, not optional.
- The Foundry (LIC) — Long Island City. Bridal bus + shuttle from Manhattan via Midtown Tunnel (~15 min).
Long Island, Hudson Valley, Connecticut venues
For outbound weddings (Oheka Castle, Garden City Hotel, Cedar Lakes Estate, Roundhouse at Beacon Falls, Saltwater Farm Vineyard), book the 32-passenger Large Party Bus for guest transport — typically an 8-10 hour package including pickup in Manhattan, drive out, hold at venue, drive back. Runs $2,300-$3,100 base depending on duration.
The math on guest shuttles vs. letting guests Uber
Consider a 120-guest wedding with 80 guests coming from a single Manhattan hotel to a Brooklyn venue. Average Uber/Lyft per trip for 4-person group: $45 round-trip = $4,500 total if everyone Ubers. Alternatively: three 32-passenger shuttles × 6 hours × $275/hr + 20% gratuity = $5,940 total for direct, on-time, door-to-door transport.
Close call on cost. The tiebreaker is usually (a) guests with elderly relatives who can't coordinate rideshare, (b) venues with no rideshare pickup zones, or (c) weddings where you want photos of the guests arriving together. If any apply, shuttle wins.
Timing the shuttle properly
Pattern A: continuous loop. Shuttle runs back and forth from hotel to venue for 2-3 hours pre-ceremony, picking up whoever is ready. Works for weddings where guests have flexible arrival windows.
Pattern B: three scheduled departures. 4:30 PM, 5:00 PM, 5:30 PM departures from the hotel. Each run holds 32 guests. Works better for ceremonies with a hard start time.
Pattern C: end-of-night shuttle. One or two shuttles run a continuous loop from the venue back to the hotel between 10 PM-1 AM so guests can leave whenever. We strongly recommend this — it's the highest-impact shuttle spend of the entire wedding.
The extras that make wedding bus bookings smoother
- Pre-loaded ice coolers with champagne glassware. Standard for bridal party buses; optional on guest shuttles.
- Pre-paired playlist. Send us your Spotify or Apple Music playlist link 72 hours before. The bus is playing your music when you board.
- Venue COI with venue named as additional insured. Most NYC venues require this. We issue at no cost, 24-hour turnaround.
- White ribbon and bow decor. Included at no cost on bridal bookings.
- Chauffeur in formal black suit with tie. Standard for weddings.
Booking timeline
Book 4-6 months ahead for Saturdays from May through October. Labor Day weekend, Memorial Day weekend, Columbus Day weekend, and June Saturdays fill up first — often 6-8 months out. Off-season weddings (November-April) can usually be booked inside 8 weeks without issue.
